What the Omni + Fireflies integration does
The Fireflies integration connects your Fireflies account to Omni, so that Omni can index and search your meeting transcripts alongside information from other connected sources. The setup uses a read-only API key to retrieve data through the Fireflies GraphQL API.
The Fireflies connector reads and indexes the following primary categories of meeting data:
- Transcripts: Full conversational text with speaker names and timestamps
- Summaries: AI-generated overviews, outlines, and bullet points
- Action items: Tasks and follow-ups extracted from the meetings
- Metadata: Meeting titles, dates, durations, participants, and keywords
After this data is indexed, you can search Fireflies meeting content together with information from other connected sources. For example, a project status meeting recorded in Fireflies can provide context alongside your project-management data, helping you understand current blockers, decisions, and progress. Similarly, customer discussions captured in Fireflies can be viewed alongside CRM and account information.
Fireflies captures and analyzes meeting conversations, while Omni makes that information available alongside information from other connected sources. Omni does not modify content in your Fireflies account.
Omni vs asking Fireflies directly: which do you need?
Fireflies already has its own AI assistant, AskFred. You can use it to summarize meetings, ask questions, extract decisions and action items, and run AI Skills within Fireflies.
| When you need to… | Use | Why |
|---|---|---|
| Answer a question about a meeting | AskFred | Search and get answers from your Fireflies meeting information |
| Combine meeting information with CRM records, tickets, or documents | Omni + Fireflies | Search Fireflies information together with information from other connected sources |
| Automate workflows within Fireflies | AskFred AI Skills | Create AI-powered workflows using your Fireflies meeting information |
| Find information that spans multiple connected tools | Omni + Fireflies | Use Fireflies meeting information alongside information from other connected sources |
To connect Fireflies to Omni, you need a Fireflies account with API access. You generate an API key in Fireflies and enter it when setting up the Fireflies connector in Omni. A paid Fireflies subscription is not required for API access, although API availability, limits, and capabilities can vary by plan.
Fireflies AI agent workflows with company-wide context
Fireflies already provides AI features for working with meeting information. AskFred can summarize meetings, answer questions, extract decisions and action items, and run AI Skills. Omni adds another option by making Fireflies meeting information available with information from other connected sources.
This is useful when a task requires context from a meeting and related business information.
Here are a few examples:
- Pre-call customer brief: Combine relevant meeting history from Fireflies with your CRM or other account information to prepare for a customer conversation. The meeting context can show what was previously discussed, while the CRM provides the related customer or account information.
- Decision lookup: Teams could ask, “When did we actually agree to change this feature?” Omni can search Fireflies transcripts and bring the relevant meeting context together with related developer tickets or other connected information, helping you trace how the decision developed.
- Onboarding: When a new employee joins in the middle of an ongoing project, they usually need help from team members to catch up. Instead, a new hire can use Omni to search for a project and find relevant information from earlier Fireflies meetings alongside related internal documentation and other connected sources.
How to connect Fireflies to AI with Omni
Before you connect Fireflies to Omni, ensure you have a Fireflies account with API access. A paid Fireflies subscription is not required for API access, although API availability, limits, and capabilities can vary by plan.
To set up the Fireflies integration:
- Generate a Fireflies API key: In Fireflies, go to Settings > Developer Settings, generate a new API key, and copy it.
- Open Omni's integrations: In Omni, go to Settings > Integrations.
- Connect Fireflies: Find Fireflies, click Connect, enter your Fireflies API key, and click Connect.
- Start the initial sync: Click Sync to begin indexing your Fireflies data.
The initial synchronization performs a full sync of the available transcripts. After that, Omni automatically performs incremental syncs for transcripts added after the previous sync.
For the complete setup instructions and prerequisites, see the Fireflies connector documentation.
For details about the Fireflies API, see the Fireflies API documentation.
Permissions: what Omni reads from Fireflies
Omni indexes full transcripts, summaries, action items, and meeting metadata through a Fireflies API key with read access. The connector is read-only.
Keep the Fireflies API key secure because it grants read access to the associated Fireflies account.
Omni also applies access controls to indexed information from connected sources. For more information, see Omni’s access control documentation.
Omni’s core is open source and available for self-hosting. See the Omni GitHub repository for the source code and licensing information.
Works better together
The value of bringing meeting transcripts into Omni goes beyond searching the transcripts themselves. You can use information from your meetings together with information from the other tools your team uses. This can help answer questions that require context from multiple sources, such as what a customer discussed in a meeting, what was recorded in the CRM, and whether there is a related open issue. Omni allows you to find and use that context without searching each tool separately.
Here are a few practical use cases that show how Fireflies works better alongside your other tools:
- Fireflies + HubSpot: Combine meeting conversations with CRM context to prepare for a customer call or understand an account’s history.
- Fireflies + Linear: Bring project planning discussions together with related project issues to understand what was discussed and how it relates to the work in progress.
- Fireflies + Google Workspace: Search meeting information alongside your company's shared documents and files.
Frequently Asked Questions (FAQs)
Does connecting Fireflies expose my transcripts to other employees?
Yes. The current connector makes indexed transcripts searchable by all users in your Omni instance, not just meeting participants. The Fireflies API key determines which transcripts can be fetched, but the connector does not carry over per-meeting sharing permissions. Review the account’s accessible transcripts before connecting it, especially for confidential HR, customer, or leadership meetings.
What does Omni add if I already use AskFred?
Omni adds context from outside Fireflies. With the relevant sources connected, an employee can ask about a meeting decision together with related CRM records, engineering issues, and company documents. Fireflies remains responsible for capturing and transcribing meetings; Omni indexes that content for cross-tool retrieval. The integration does not replace AskFred or run a separate meeting-recording bot.
Can Omni connect a meeting decision to the related customer account or engineering issue?
Yes, when Fireflies and the relevant CRM or issue-tracking sources are connected and synced. Omni can retrieve the meeting discussion alongside related records to help explain what was decided and how it relates to ongoing work. This is a way to investigate existing evidence, not a guarantee of automatic record linking or updates to the CRM or issue tracker.
Which Fireflies content does Omni index?
Omni indexes full meeting transcripts with speaker names and timestamps, AI-generated summaries, action items, and metadata such as the meeting title, date, duration, participants, and keywords. It retrieves the content available to the configured API key; a transcript must be accessible through that key and successfully synced before it can appear in Omni.
What do I need to connect Fireflies to self-hosted Omni?
You need a Fireflies account with API access, its API key, and a running Fireflies connector service in your Omni deployment. Enter the key under Settings → Integrations → Fireflies and start the initial sync. Check your Fireflies plan’s current API limits and review transcript visibility before connecting. Treat the key like a password because it grants read access to meeting content.
Can Omni record meetings or edit Fireflies transcripts?
No. Fireflies handles meeting recording and transcription. Omni’s connector is read-only: it retrieves existing transcripts, summaries, and action items, but cannot modify Fireflies content. Surfacing an action item in an answer also does not create a task in another application.
