What the Omni + HubSpot integration does
The HubSpot connector connects HubSpot CRM data to Omni’s AI agents. It uses read-only API access, so Omni can retrieve and index supported HubSpot data but cannot modify it. The connector indexes contacts, companies, deals, tickets, and engagement activities such as calls, emails, meetings, notes, and tasks.
To set up the connection, you create an app in HubSpot and configure the scopes that determine which CRM data Omni can access. The app provides an access token that Omni uses to retrieve the permitted data. HubSpot remains the source of truth for the CRM data.
Once indexed, HubSpot becomes one source in Omni’s broader context layer. An agent can retrieve CRM information alongside data from other connected sources, giving it context that may otherwise be spread across different systems.
Omni vs HubSpot’s Breeze agents: which do you need?
You do not necessarily need to choose between HubSpot’s Breeze agents and Omni. They work in different ways.
Breeze Assistant helps build custom agents and agentic automation within HubSpot. It can work with CRM data, customer records, meeting context, and supported connected information.
Omni does not install an AI agent inside HubSpot. Instead, it connects HubSpot as a data source and brings that CRM context into a company-wide retrieval layer alongside information from other applications.
The difference is where the context comes together. Breeze operates within the HubSpot environment, while Omni can retrieve HubSpot information alongside data from other connected sources.
What an AI agent for HubSpot CRM can do with company-wide context
Build a complete account brief.
A recent customer meeting may contain the discussion that explains a change in deal status, while an internal document may contain the account plan.
With HubSpot connected alongside Fireflies and Google Workspace, Omni can retrieve the relevant CRM records, meeting context, and documents for an account brief.
Trace customer concerns across systems
A support ticket in HubSpot captures what a customer reported. The broader context may be elsewhere. Connecting the sources lets an agent retrieve related internal discussions.
Connect customer requests to product work.
A feature request recorded in a HubSpot ticket may correspond to a Linear issue that is already in progress. With both sources connected, Omni can retrieve the customer request.
How to connect an AI agent to HubSpot
To connect HubSpot with Omni, you need to create an application in HubSpot. The app defines the scopes that determine which CRM data Omni can access. HubSpot provides an access token that Omni uses to retrieve the permitted CRM data for indexing.
In HubSpot
- Create a HubSpot app on HubSpot’s developer platform. Install the HubSpot CLI and run
hs project create; choose App as the project type and static token authentication for single-account access. - Configure required scopes in
requiredScopes:crm.objects.contacts.read,crm.objects.companies.read,crm.objects.deals.read, andtickets. - The contacts scope is to read the supported engagement activities: calls, emails, meetings, notes, and tasks.
- Install the app and get the access token. Upload the app with
hs project upload. In HubSpot, open the project's Distribution tab and install the app on your account. Then copy the access token from the app settings.
Keep the token secure as anyone with access to the token can read the HubSpot CRM data.
In Omni
- Go to Settings → Integrations.
- Find HubSpot and click Connect.
- Enter the HubSpot access token.
- Click Connect.
- Click Sync to start the initial sync.
If you already have a legacy HubSpot Private App, you can also use its access token with the connector. HubSpot's Private Apps use scoped access tokens, which limit what an integration can access. See the HubSpot connector setup docs for details.
Permissions: What Omni reads from HubSpot
The HubSpot connector uses read-only access to index supported CRM objects and engagement activities. The scopes configured for the HubSpot app determine what data Omni can retrieve. Omni cannot create, modify, or delete HubSpot records through this connection.
HubSpot data indexed by Omni is visible to all Omni users. The HubSpot connector does not inherit individual HubSpot user permissions, so there are no per-user permissions for the indexed HubSpot records.
This matters when connecting a HubSpot account that contains sensitive customer, pipeline, or revenue information. The scopes configured for the HubSpot app determine what data Omni can retrieve, while the current connector makes that indexed data searchable to all Omni users. The connector’s source code is open for inspection.
Works better together
HubSpot is one part of the context required for many customer and business workflows. Connecting it with the systems your teams already use lets an agent retrieve CRM data alongside conversations, documents, meeting context, and product work.
- Omni + Fireflies: Fireflies connector connects meeting transcripts, summaries, and action items with HubSpot customer context. An agent can use information from customer and internal calls when researching an account.
- Omni + Google Workspace: Google Workspace connector brings documents, spreadsheets, and other workspace information. This is useful when an account question depends on information stored outside HubSpot.
- Omni + Linear: Linear connector connects customer requests and CRM context with product issues, projects, and feature work. An agent can trace a customer request from the CRM to the product work addressing it.
Connect Fireflies, Google Workspace, Linear, HubSpot, and other supported sources together so the agent can retrieve context across conversations, documents, customer records, and product work instead of treating every application as a separate search destination.
Frequently asked questions
Can every Omni user search the HubSpot data I connect?
Yes. The current HubSpot connector makes indexed CRM records searchable by all users in your Omni instance. It does not inherit individual HubSpot user permissions. The app’s scopes determine which records Omni can retrieve, not which Omni employees can see them. Review the account and scopes carefully before connecting sensitive customer, pipeline, or revenue data.
Can Omni prepare an account brief using HubSpot records and meeting transcripts?
Yes, when both sources are connected. Omni can retrieve a customer’s CRM records alongside relevant Fireflies meeting transcripts and account documents from other connected tools. This helps an employee prepare for a renewal or handover without searching each application separately. The answer depends on the records available through those connections; connecting HubSpot alone does not provide meeting or document context.
Does this integration automate CRM updates, or only retrieve information?
The HubSpot connector is read-only. It indexes CRM information for search and agent answers, but cannot create contacts, change deal stages, update tickets, or delete records. Use it for account research and cross-tool context, not as a replacement for workflows that write changes back to HubSpot.
What does Omni add if we already use HubSpot Breeze?
Breeze works within the HubSpot environment. Omni connects HubSpot to a shared company context layer alongside documents, conversations, engineering issues, and meeting transcripts from other tools. Use Omni when a customer question requires information beyond the CRM. The two can complement each other; this integration does not install or replace a Breeze agent.
Which HubSpot records can Omni index?
The connector supports contacts, companies, deals, tickets, and engagement activities including calls, emails, meetings, notes, and tasks. What it can retrieve depends on the access token and scopes configured for the HubSpot app. HubSpot remains the source of truth; Omni indexes supported records for retrieval.
What do I need to connect HubSpot to self-hosted Omni?
You need an Omni deployment with the HubSpot connector service running and a HubSpot app access token with the documented CRM read scopes. Enter that token under Settings → Integrations → HubSpot and start the initial sync. An existing legacy HubSpot Private App access token can also be used. Keep the token secure: anyone with it can read the HubSpot data it authorizes.
Do I need a paid Omni plan for the HubSpot connector?
Omni’s free, self-hosted Community version includes core agents, search, and integrations. Paid plans add enterprise capabilities such as SSO, SCIM, audit logs, administration, and support. Free software does not remove the infrastructure and model costs of running your own deployment.
