Google Workspace Integration: Drive, Docs, Gmail, and More in Omni

Information is always available within your organization, but locating it can be a challenge. Your pricing could be stored in a spreadsheet, some customer issues could be on a Gmail thread, and the rationale behind any decision could be in a Google Chat discussion. The Omni Google Workspace integration brings all this information together.

Omni is an open-source and self-hosted platform for Enterprise AI agents. Among other data sources, Omni integrations include Google Workspace, Slack, Jira, Confluence, HubSpot, and Microsoft 365. Through these integrations, teams can search information from across different tools instead of just looking at each source separately.

One question, two sources

Does our onboarding guide match what we promised Northwind?

Gmail · Customer commitment

“We’ll complete onboarding in two weeks.”

Google Docs · Onboarding guide

“The standard rollout takes four weeks.”

Omni · Compare with sources

The timelines differ: two weeks in the email, four in the guide.

Sources: customer email + onboarding document

What the Omni + Google Workspace Integration Does

After setup, we index the following Google Workspace content:

Google Drive:
files, folders, and metadata.
Google Docs:
entire document text and comments.
Google Sheets:
sheet name, cell contents, and formulas.
Google Slides:
slide text and notes.
Gmail (optional):
subject, body, and supported file attachments, including PDF, DOCX, XLS, PPTX, etc.
Google Chat (optional):
space, thread, messages, membership metadata, and Drive attachments.

Docs, Sheets, and Slides are indexed through Drive, not configured as separate source records. Setup can create Drive, Gmail, and Chat sources, depending on the connection method. Retrieval is limited by configured sources and source permissions.

It becomes possible for employees to query all these sources using one interface by asking simple questions in their natural language. Omni’s digital assistant queries the above sources, reads relevant documents, and answers the question along with citing references. Users do not need to keep in mind whether the answer exists in emails, slides, or spreadsheets.

Let’s take a concrete example. The account manager queries, "What did we commit to in terms of onboarding with Northwind, and does our existing onboarding guide align with that?" Omni finds the Gmail thread in which the commitment was made and also finds the onboarding guide in Docs, then compares them. If the email commits to a two-week roll-out and the guide says four, the answer highlights that, with both sources referenced. Doing this manually requires a lot more effort - searching your email, opening your Drive folder, and comparing two documents.

The key advantage here is being able to query these various sources via one AI agent rather than six individual searches. Google’s own AI system, Gemini, is also available inside Workspace. The comparison of both options is discussed in the next section.

Omni vs Gemini for Google Workspace: Which Do You Need?

Gemini would come as a natural fit for those businesses that are completely dependent on Google Workspace applications in their routine work. It offers features such as writing responses in Gmail and editing documents in Google Docs, with availability depending on an eligible Google Workspace or Google AI plan. If your business is run entirely on Google applications, Gemini is the obvious choice.

Gemini Enterprise is another possibility that is a distinct product intended for enterprise search and AI agents. As stated in the official product documentation by Google, it provides permission-aware search and integration with third-party tools.

Herein lies the differentiating factor of Omni:

  • Workspace as a Source. While Omni treats Google Workspace as just another connector amongst many, a single question may be based on information beyond Workspace - Slack, Jira, HubSpot, Microsoft 365, and so forth.
  • Company context across platforms. It addresses broader company-level questions and not just questions related to data residing within Google apps.
  • Self-hosting capability. Omni is hosted on your own systems, either in the cloud or on-premises, and comes with an Apache 2.0 license.
  • Choice of model. Omni supports model providers including Anthropic, OpenAI, Gemini and those available on AWS Bedrock, Vertex AI, Azure AI Foundry, and any other OpenAI-compatible endpoint.

Gemini is useful for work inside Google’s apps, such as writing responses in Gmail and summarizing Docs. We bring Workspace information together with your other company applications so you can ask questions across them.

What a Google Workspace Integration Does With Company-Wide Context

Company data often resides in a variety of applications. Emails are in Gmail, customers' data are in a CRM system, budget numbers could be in spreadsheets, and important discussions are held in chat or messaging apps such as Slack. Answering any business question sometimes demands gathering data from a number of sources. Here are three examples:

Account readiness: Gmail, HubSpot, and Google Docs.

To prepare for a renewal call, a sales rep should have an account briefing prepared. Omni allows you to aggregate all the relevant threads in emails, deals and contacts from HubSpot and the latest proposals or meeting minutes stored in Google Docs.

Budgets: Google Sheets, Slack, and Google Drive.

A finance team lead would like to know about the reasons for the growth of the department's expenses last quarter. Budget figures are in Google Sheets, reasons are explained in a Slack discussion, and approvals are found in Google Drive files. Omni can aggregate information from all such sources.

Finding expertise: Google Docs and Google Chat.

A new hire needs to locate people knowledgeable in the billing migration process. Omni will be able to show the contributors to the design documents and the participants in the discussions on the subject in Google Chat.

Searches conducted in individual applications may fail to capture the complete context. Integrations help connect all the relevant information in different applications rather than conducting searches in only one application.

Gemini helps integrate information among Google applications, and Gemini Enterprise can also integrate with other third-party applications. Omni is an open source cross-application platform, where Google Workspace is just one of its integrations.

How to Connect an AI Agent to Google Workspace

For organization-wide access to Drive, Gmail, and Google Chat, use a Google Cloud service account with domain-wide delegation. Create a Google Cloud project, enable the relevant Google APIs, configure the service account, and authorize its scopes in the Google Workspace Admin Console.

Once this is done, the administrator will need to go to Settings → Integrations within Omni and choose which services it should be integrated with, for example, Google Drive, Gmail, or Google Chat.

Personal Google OAuth can instead create Drive and Gmail sources using the account owner’s authorization, without domain-wide delegation. After an admin configures OAuth Apps, users connect through My Integrations. A separate Shared drive (no DWD) mode uses a plain service account for selected whole shared drives only; it requires group/member access, Content manager or Manager access on each drive, and an external-sharing policy that permits the service account.

Follow our Google Workspace setup guide for API scopes, permissions, and configuration details.

Permissions: What Omni Reads From Google Workspace

Linking Google Workspace and Omni does not mean that everyone in the company will be able to access any of the company’s documents. The documents that an organization links and the information accessible by each individual are two different things.

We store permissions alongside each indexed document: whether it is public, which users can access it, and which groups can view it.

We use those permissions and synced group memberships to filter search results and the information retrieved by the agent.

Information related to group membership is synced from the source while permission information gets updated periodically.

Permission updates and scope cleanup are not instantaneous; files removed from a Drive selection may remain searchable until cleanup completes. See our access-control guide and the connector documentation.

Indexing credentials do not authorize actions on behalf of employees. Separately authorized Google Workspace tools prompt users to connect their own Google account when required; allowed operations depend on that user’s authorization and scopes.

Works Better Together

While Google Workspace is home to much of the information many businesses own, its value multiplies when it's linked up with all the other enterprise tools in use. Some examples demonstrate the point.

Workspace + Slack: documents + discussions.

Docs and Drive may have the actual decisions for example, while Slack may store all the discussions related to them. Integrating both allows Omni to provide not only the decisions but also the reasoning and team perspectives behind them.

Workspace + HubSpot: emails + customers.

Gmail gives the record of the communication, and HubSpot provides the details of the customer relationship. The combination allows you to see the full account story in a single place without having to go to each system one by one and collect information manually.

Our HubSpot connector makes indexed CRM data visible to all Omni users, rather than inheriting individual HubSpot permissions. Connecting it does not widen Gmail access.

Workspace + Microsoft 365: dual-stack organizations.

Many companies use both ecosystems either due to mergers or for different needs of various teams. With Omni, you can search Google Drive as well as OneDrive or SharePoint all in one place while preserving each source’s access restrictions.

This is far from being an exhaustive list of integrations. It demonstrates that cross-platform context transforms an ordinary Workspace search into a company-wide one.

FAQs

Does Omni replace Gemini for Google Workspace?

No. Gemini is the built-in assistant that comes with the Google Suite, and works great for fully-Google ecosystems. Omni works in a cross-source way, connecting Workspace to other systems like Slack, Jira, HubSpot, and Microsoft 365. Some organizations could benefit from using both, for different purposes.

Which Google Workspace apps does Omni index?

Drive, Docs, Sheets, Slides, Gmail, and Google Chat. The last two are optional and configurable by the administrator.

Does Omni read everyone's Gmail?

Gmail indexing is optional. An administrator must explicitly enable and authorize organization-wide access; connecting Drive does not enable Gmail automatically. We filter search results using synced Google Workspace permissions. Users can also connect only their own Gmail through Google OAuth.

Does the Google Workspace integration work on self-hosted Omni?

Yes. Omni is self-hosted by nature, and the Google Workspace connector runs on your Omni instance.
